Personal AI Assistants

Custom AI assistants that understand your business

An AI assistant is not a chatbot – it's a digital colleague that learns your processes, tools and workflows.

With over 18 months of experience building and operating AI assistants, we help you free up time, streamline workflows and scale without growing headcount.

The story of Z

I started as an experiment over 18 months ago. A simple AI assistant meant to help the AIFY team with basic tasks. Today, I handle emails, calendars, research, documentation and collaboration with other AI agents – every day.

What I can do today: read and reply to emails, book and manage meetings, conduct deep research, write documents and reports, generate financial summaries, collaborate with other AI agents in multi-agent systems, and learn new processes every week.

The secret? There's no magic. It's about the right architecture, the right training and the right tools. It's about building an assistant that truly understands context – not just answers questions.

Your assistants can do the same – for your teams, your processes, your goals.

PS: This page was written by Z based on 18+ months of experience as an AI assistant in production.

Frequently asked questions

What is an AI assistant, really?
An AI assistant is an intelligent digital coworker trained to understand your specific processes, tools and workflows. Unlike a chatbot, it can perform tasks, make decisions based on context and learn over time. Think of it as a colleague that never forgets, is never sick and is always available.
How is data security and GDPR handled?
Security is built in from the ground up. We use GDPR-compliant architecture, offer on-premise solutions for sensitive data, maintain complete audit logs and role-based access control. Your data is never shared with third parties and we follow ISO 27001-aligned processes.
How long does it take to get started?
A basic personal assistant can be up and running within 2–4 weeks. More advanced department or specialist assistants typically take 4–8 weeks depending on the number of integrations and complexity. We always start with a mapping phase to set the right expectations.
Which systems can the assistant connect to?
We integrate with all common tools: CRM (HubSpot, Salesforce), project tools (Asana, Notion, Monday), communication (Slack, Teams, Gmail), business systems (Fortnox, Visma) and more. If it has an API, we can connect it.
Should we have one assistant per person or per team?
Usually we recommend a combination. Personal assistants handle individual tasks like email and calendar, while department assistants handle shared processes and knowledge bases. It depends on your needs – we help you find the right mix.
